How seats work

Pay for what people actually do.

You pay for what a person actually does in Lotus, not just for existing in the system. There are three kinds of seat.

Full seat

Module-priced

For the people whose time is captured. Priced by the modules they use: Time, plus any add-ons. Anyone whose time is planned or staffed as a resource is Full too, because their time has to be in the system to be planned at all.

Contributor seat

$15 flat

For people who use Lotus but aren't tracked: managers, planners, report-readers. One flat seat covers access across every module your firm licenses, not a stack of module charges. A resource planner who isn't tracked is a Contributor, not a Full seat.

Admin seat

Free

Practice managers, IT and operations staff who configure and run Lotus but don't track time or work in the modules take no paid seat. You're not charged for the people keeping the lights on.

Pricing questions.

Is Time really required?

Yes. Everything in Lotus is built on accurate time data, so Time is the foundation every firm starts with. You can add Delivery or Insights at any time.

Do we have to buy a Time seat for everyone?

No. A Full seat is only for people whose time is captured. Those who use Lotus without tracking their own time, such as running reports, managing projects or reviewing Insights, take a $15 Contributor seat instead, and admins who configure and run Lotus are free.

Does "annual plan" mean paying a year upfront?

No. An annual plan is a twelve-month commitment billed every month, at a lower per-seat rate than going month-to-month. Month-to-month gives you the flexibility to change any time.

Can we change modules and seats later?

Yes. You can add modules or seats at any time, on either plan. Reducing depends on your plan: month-to-month can scale down whenever you like, while annual seats are committed for the twelve months, so reductions take effect at renewal. Either way, Lotus is designed to grow with you.

Does the AI cost extra?

No. AI recommendations are included in Insights, under a fair-use policy that covers normal day-to-day use, so you won't see a separate charge or a per-query meter. AI powers deeper insight; it isn't something the rest of Lotus depends on to work.

Is there a setup or onboarding cost?

That's up to you. Onboarding runs from fully self-serve, where you sign up and get going on your own, through to a fully managed, on-site rollout, and everything in between. Talk to us and we'll work out what makes sense for your firm.
